# Acctivate pricing - what does it actually cost?

Acctivate publishes no licence price, and the answer is not a monthly figure. The fullest third-party breakdown, Software Connect's review, puts it at a one-time licence of $5,995 for one user, $9,995 for five or $13,995 for ten, each carrying an annual subscription of $5,000, $8,000 or $14,000 on top, with extra users at $600 each and an onboarding fee billed monthly until go-live. A single-user first year therefore lands near $13,000 before QuickBooks, which Acctivate requires. That is the price of an inventory ERP, and it sits in a different category from a [flat-fee wholesale ordering tool](https://wholesalehandler.com/articles/flat-fee-wholesale-ordering-software).

## The bill has three legs

Acctivate is sold as a perpetual licence with an annual subscription beside it, not as a monthly seat price. Software Connect's review is the only source carrying the full ladder.

Users beyond the included count are $600 each. Tier does not gate the feature set the way it usually does: every Professional and Enterprise feature can be bought a la carte on Starter, so the tier is mostly a user count with a licence fee attached.

Capterra, GetApp and Software Advice all carry the same Starter figures - $5,995 one-time, $5,000 a year - which is the corroboration that makes Software Connect's table the one to trust over the estimates below.

## Onboarding is billed by the month until go-live

The one number Acctivate publishes itself is the onboarding rate: the service is billed at $1,000 for each month until the go-live date. Onboarding is required with every package, covers one QuickBooks company, and runs remotely for 60 to 90 days on Software Connect's account. That is $2,000 to $3,000 on a typical Starter implementation, and aggregator listings that quote flat onboarding of $2,000, $3,000 and $4,000 by tier are describing the same money as a total.

The subscription is paid annually. Monthly payment is available through third-party financing for a fee, which is borrowing against the annual bill rather than a monthly plan.

## QuickBooks is a prerequisite, not an integration

Acctivate runs on top of a QuickBooks company file. Supported are QuickBooks Online Plus and Advanced - Simple Start and Essentials are not - and QuickBooks Desktop Pro, Premier and Enterprise. During setup, inventory items are deactivated in QuickBooks so that stock moves into Acctivate.

That prerequisite is part of the cost. A business not already on a supported QuickBooks tier is buying two subscriptions to get one system, and the decision to run Acctivate is also a decision to stay on QuickBooks. ## The third-party estimates disagree

ITQlick carries no perpetual licence for Acctivate at all. It models the product as a per-user subscription and its own pages do not agree with each other: the main Acctivate page quotes $150 per user per month, the Acctivate Inventory page $3,000 per user per year, and the manufacturing page $200 per user per month. It adds implementation at $5,000 to $20,000 and a five-year total of $75,000 to $125,000 for ten users. PricingNow gives a fourth model again, starting at $79 per user per month and rising to $149 across per-seat tiers Acctivate does not sell.

Those are category templates, not observed quotes. The licence-plus-subscription structure is what Acctivate feeds to the directories and what its own page describes, so a per-user monthly figure for Acctivate is a sign the source is guessing. ## No trial, and no ordering portal for buyers

Capterra lists neither a free trial nor a free version. Evaluation is a demo and a quote.

Acctivate's "Customer Portal" is a support-ticket portal - open a ticket, review closed ones. Buyer-facing ordering is handled by the Web Store Integration, which connects Acctivate to a third-party storefront such as Shopify, so a trade customer placing an order is using someone else's software with someone else's bill attached. ## The buyer Acctivate is priced for

Software Connect puts Acctivate's market at small to midsize businesses with $5M to $200M in annual revenue, and its best fit at distributors and manufacturers between $5M and $20M. The pricing follows from that. A licence in the five figures amortised over years of ownership is a reasonable shape for a distributor with warehouses, bins, lot traceability and purchase orders to manage.

A producer with forty trade customers who wants those customers to stop phoning in orders is not that buyer, and the cost gap is a capability gap rather than a markup.

## What Wholesale Handler does not do

Wholesale Handler is a flat monthly price, with no per-user charge, no per-order fee and no commission on order value. It is free up to 3 customers, and there is a working demo, with no signup and no card.

It is an ordering system, so most of Acctivate's inventory surface is absent:

-   Stock control beyond optional quantity tracking per product, with no purchase orders or automated replenishment
-   Lot and serial traceability, and recall management
-   Multi-warehouse and bin locations, cycle counting, mobile warehouse scanning
-   Assemblies, bills of materials and landed cost
-   EDI, and two-way accounting sync - invoice lines come out as a CSV shaped for import instead

What it does hold is the order desk: a self-service portal where customers order 24/7, named price lists assigned per customer, order profiles carrying delivery days, cutoffs and minimum spend, standing orders, PDF packing slips and invoices, and a production schedule built from incoming orders.
