Using Trello or a CRM for wholesale orders

A board or a CRM tracks the progress of an order you have already taken. It does not take one. The gap matters because taking the order - the lines, the quantities, the price for that particular customer - is the part that costs you time, and it happens before a card exists.

What a card can hold

A card holds a title, a description, a due date and a status. That is enough to answer "where has this got to", which is the question boards are built for.

An order is different data. It is a list of products, a quantity against each, a price per line that depends on which customer is asking, a delivery date, and a total. Putting that in a description field means typing it there, which is the work you were trying to remove.

The order exists before the card does

Someone still has to receive the order. A board starts once you have the message in front of you and are moving it along, so the phone call, the text and the emailed list all happen first and are unchanged by the board.

That is the whole limit. A customer portal is the opposite arrangement - the customer enters their own lines at their own prices, and the record is created by them rather than transcribed by you.

Cards do not add up

Fourteen cards cannot tell you to make 42 sourdough. Boards have no concept of a line item, so nothing can be totalled across them, and neither can prices.

Anything that needs a sum - a production total, an invoice, a month's sales for one customer - has to be worked out somewhere else, usually a spreadsheet kept alongside. At that point the board is a status tracker sitting on top of a second system that holds the real data.

A CRM pipeline models a deal, not a repeat order

CRM stages describe something that happens once - a lead becomes a quote, becomes a sale, and closes. Wholesale is the same customer ordering again every week for years, so each order becomes a new record in a pipeline built to end.

The part a CRM does model well is the relationship around the trade: who you approached, who has gone quiet, when to call. That is a real job, and it is separate from taking the order.
